What we collect

When you request an instant preview by submitting your practice website URL, we record:

• The URL you submitted
• Your practice name, phone number, and email address — extracted from your public website
• The date and time of the submission

We only extract information that is already publicly visible on your website. We do not collect passwords, payment details, or any sensitive personal data.

When you create an Apollo account, we collect the account information needed to provide the Service, such as your email address, authentication details, and the practice and site information you add to your account. Please do not include patient health information or other sensitive information in communications with us.

Why we collect it

We use this information to provide and secure the Service, administer your account, follow up with you about a requested preview, provide support, and understand how people discover us and improve the preview experience over time.

Email communications

We send required service emails when needed to operate or protect your account. These can include account verification, password or login assistance, security notices, team invitations, important changes to the Service, and account or billing notices. You cannot opt out of these emails while you maintain an account because they are necessary to provide the Service or protect it from misuse.

Monthly product updates, feature education, offers, and other promotional emails are optional. We will send them only when you separately opt in, where an opt-in is offered or required by applicable law. Accepting our Terms or creating an account alone does not enroll you in optional marketing emails.

Every optional marketing email will include a clear way to unsubscribe or manage your preferences. You may also email hello@getapollosite.com with the subject line “Unsubscribe.” We will honor your request promptly. Unsubscribing from optional marketing does not stop required service or security emails.

How long we keep it

Preview lead records are retained for 12 months from the date of submission, then permanently deleted. We retain account information while your account is active and for a limited period afterward when needed for legitimate business, security, legal, or recordkeeping purposes.

Who sees it

Your information is visible only to the Apollo team and trusted service providers that process it on our behalf to operate the Service, such as authentication, hosting, and email providers. We do not sell, rent, or share it with third parties for their own marketing purposes.

Your rights

You can request access to, correction of, or deletion of your personal information at any time. Just email us at hello@getapollosite.com and we will respond within 7 business days. Deletion requests are subject to any information we need to retain for legal, security, fraud-prevention, or recordkeeping purposes.
